From QBO file to reconciled transactions.
The download is one step. The job is finished when the right transactions appear in the right account and match your statement.
1. Check your setup and make a backup
Use a supported QuickBooks Desktop edition with active banking services. Back up the company file, then try a short date range. Keep the original statement and conversion summary for comparison. Menu labels can vary by edition.
2. Import the Web Connect file
In QuickBooks Desktop, open File → Utilities → Import → Web Connect Files. Select the downloaded .qbo file. If prompted, match it to the correct existing bank or credit card account. Do not create an extra account just because the institution details were entered differently.
3. Review the bank feed
Inspect the downloaded transactions before adding them. Match entries already in your books, categorize the new entries, and check that purchases are money out while refunds or payments have the appropriate opposite direction. A converter does not make these accounting decisions for you.
4. Reconcile against the statement
- Compare the number of newly imported transactions.
- Compare the date range and individual transaction dates.
- Compare inflows, outflows and the statement closing balance.
- Check two identical-looking purchases really should be separate.
- Check overlapping date ranges for duplicates.
If QuickBooks cannot verify the financial institution
Check the institution’s current Web Connect support and the file’s Intuit Bank ID. Try a recent unmodified .qbo download from the same bank. If that also fails, investigate your QuickBooks edition, bank service or account setup before changing the converted file. See our institution details guide.
If the file imports into the wrong account
Stop before adding transactions. Compare the account identifier and account type with the intended account. Restore your backup or use the correction procedure appropriate to your edition; do not repeatedly import until the account mapping is correct.
Using QuickBooks Online?
Open your bank transactions area and choose the upload-from-file option. QuickBooks Online can also accept your CSV or QFX directly. Follow Intuit’s current manual upload instructions.
Our current release has file-level automated tests but has not yet completed a real QuickBooks import test. Your backup and a small test import are essential.
